Terms & Conditions

1. REGISTRATION

• Registration is mandatory for all participants, including but not limited to presenters, speakers, listeners, volunteers, and session or workshop hosts.
• Registration is to be completed via the official ICYMARE conference tool: https://conference.icymare.com.
• Each participant must complete the registration individually. Bulk registrations are not available.
• Registrations are for the person acquiring the registration and paying the registration fee. Registrations are non-transferable.
• Presenters are required to register promptly after acceptance of their contribution to ensure inclusion in the program. The deadline to register for presenters is 15.07.2025

2. CONFERENCE FEE

• The following fee structure applies to all ICYMARE 2025 participants:
  • Full price (currently enrolled in a PhD program or early-career researchers): 50€
  • Students (currently enrolled in a BSc or MSc program): 30€

  Registered members the Naturwissenschaftlicher Verein zu Bremen (NWV) will receive a 10€ discount:

  • Full price + NWV member: 40€
  • BSc / MSc student + NWV member: 20€

  No day passes or additional discounts are available.

  Payment can be made by credit card or PayPal.

  Please note: Changes to invoice details are only possible in exceptional cases. Make sure your MyICYMARE account is up to date and have all necessary information ready (e.g., billing address, VAT ID for EU participants) before starting your registration.

3. WHAT YOUR FEE COVERS

Your ICYMARE 2025 BREMERHAVEN registration fee includes:

• A conference bag filled with ICYMARE goodies.
• Admission to the Icebreaker event, including finger food and drinks.
• Participation in scientific sessions, workshops and round tables as per the ICYMARE 2025 BREMERHAVEN program.
• Access to the fully catered poster session.
• Refreshments during coffee breaks, including sweet treats, fruits, coffee, tea, and cold drinks.
• Your certificate of attendance.

4. WHAT YOUR FEE DOES NOT COVER

Please note that the following costs are not included in your registration fee:

• Accommodation
• Travel expenses.
• Meals outside of listed conference events.

5. CANCELLATION POLICY

• Due to the low participation fee and the financial structure of the conference, no refunds will be issued in case of cancellation or non-attendance by the participant.

6. CODE OF CONDUCT

• All participants are expected to engage respectfully and professionally throughout the event.
• Discrimination, harassment, or any form of inappropriate behavior will not be tolerated.
• The ICYMARE organizing team reserves the right to exclude participants from the conference in case of violations.

7. DATA PROTECTION

• By registering, you consent to the storage and use of your personal data for purposes directly related to the organization of ICYMARE 2025 BREMERHAVEN
• Your data will not be shared with third parties beyond what is necessary for running the conference (e.g., certificates, participation lists, technical services).

8. PHOTOGRAPHY AND RECORDINGS

• During ICYMARE 2025 BREMERHAVEN, photos, screenshots, and recordings may be taken for documentation and promotional purposes.
• By participating in the conference, you agree that images or recordings in which you may appear can be used by ICYMARE for non-commercial communication (e.g., website, social media, reports).
